A sales tax return reports activity for a specific permit and period, not simply the tax in your bank balance. Start with the state's assigned filing frequency, reconcile all channels, then map sales, deductions, use tax and adjustments to that state's form. Filing and paying are separate steps, and both need confirmation.

Key takeaways

Use the filing frequency assigned to the account; do not infer it from revenue alone.

Marketplace deposits are net cash receipts, not a reliable gross-sales figure.

A zero balance does not automatically remove an active account's filing requirement.

Retain the accepted return and a separate payment confirmation.

01

Confirm the account, period and deadline before importing sales

Open the official state portal and identify the legal entity, permit number, return type and reporting period. Monthly, quarterly and annual assignments can coexist across one seller's accounts. California also has quarterly prepayment arrangements, so a payment notice is not necessarily a request for a full monthly return. Record each account's actual assignment rather than building one universal calendar.

Check the period boundaries as well as the due date. New York's regular sales-tax quarters do not follow January–March calendar quarters. A date that falls on a weekend or holiday may move, while an electronic payment initiation cutoff may occur earlier. Our tax calendar separates reviewed dates from account-specific obligations; the portal remains the place to verify your own account.

02

Build a gross-sales bridge instead of filing from deposits

Export orders at invoice level from the store, marketplaces and point-of-sale system. Separate merchandise, shipping, discounts, tax, cancellations and refunds. A processor deposit already deducts fees and may settle after the sale, so it cannot be substituted for gross sales. Create a workpaper showing which transaction dates and accounting method feed each reporting period.

For an illustrative monthly close, assume $40,000 in direct merchandise sales and $10,000 sold through a marketplace. If the marketplace deposits $8,600 after fees, your source-sales population is still $50,000 before other adjustments. A state's return might require the $10,000 to be reported and then deducted, or might prescribe another treatment. Map it to the actual instructions instead of silently deleting that channel.

03

Map deductions and local schedules with supporting evidence

Group each reduction by its legal reason: resale, another exemption, marketplace collection, a qualifying return or an out-of-jurisdiction sale. These categories are not interchangeable. An exemption certificate supports customer treatment; a marketplace settlement supports the platform's collection role. Keep the original documents connected to the return line so the reviewer can trace the reduction without rebuilding the entire export.

Local schedules may need destination codes, taxable receipts and separate jurisdiction totals. Check that those schedules reconcile to the state summary and that address corrections did not change historic transactions without explanation. If your business owes tax on its own purchases, add the required use-tax entries through the appropriate part of the form rather than hiding them in sales figures. See the business use tax guide.

04

Reconcile tax due, credits and payments

Tax collected at checkout is a useful comparison, but it may differ from the return liability because of exemptions, refunds, rounding, local allocations or an incorrect configuration. Investigate a difference before submitting. A return with $2,400 of tax due, an allowed $100 credit and a documented $500 prepayment would have $1,800 remaining in this simplified example. Confirm that each adjustment belongs to that account and period.

Treat a credit balance with the same care as an amount payable. Do not assume that excess tax collected can be kept or automatically offset against another state's bill. Read the state's customer-refund and credit instructions. Save the reconciliation with the preparer's explanation, the review date and links to prior-period adjustments so that a later amendment can be reconstructed.

05

Submit, pay and verify acceptance

Review the portal's final preview against your workpaper before filing. Capture the submitted return, confirmation number and timestamp, then check the account for acceptance or rejection. Schedule the payment separately when required, using the correct account and period. A scheduled debit is not proof that funds settled: reconcile the bank transaction and resolve any rejected payment before closing the task.

When an active permit has no activity, check whether a zero return is required. When the business stops selling in a state, follow the formal closure process and confirm the final return rather than abandoning future notices. If an error is found after filing, use the state's amendment process; do not shift an old error into a current return merely to make the ledger agree. Keep notices with the filed period and assign each a response owner.

FAQ

Frequently asked questions

Can I file using the amount deposited by Shopify or a marketplace?

Use deposits for reconciliation, not as a substitute for gross sales. Fees, tax, refunds and settlement timing can all change the deposit without changing the reportable sales population.

Does submitting a return also pay the tax?

Not always. Verify both the return status and the payment method, confirmation and settlement. Some portals combine the steps, while others require a separate payment.

What if the return is zero?

Check the active permit's filing instructions. A zero liability can still require a return, and closing an account generally requires a separate procedure.
